| Contracts & Invoice Administrator GENERAL SUMMARY Proposes standard work flow and business process for contract and invoice administration within the department. Compiles and prepares tender documents. Checks and follows up invoice verification and payment requisition processes. Maintains records of contract and invoice administration. 1. Initiates and proposes standard work flow in the department for tender preparation, contractual procedures, tracking service orders, verification of invoices and payment requisition processes. Closely communicates and coordinates with Corporate Planning Department, Contract Department as well as Accounting Department. 2. Compiles and prepares tender documents, and initiates and follows up tender/contract procedures. Registers, maintains and verifies records of tender/contract and invoice administration such as tender documents, tender materials, bid evaluation, LOI, contract text, contractual correspondences, work orders, service tickets, invoices, payment requisition, and other associated documents. Regularly updates records, provides Budget Controller and other concerned staff with data/information regarding contract/invoice administration. Regularly reports to Supervisor summary of contractual situation. Initiates any required supplemental procedures. Regularly reconciles the contract list with the records of Contract Department. 3. Estimates and compiles longer range tender/contractual requirements for department’s 5 year business plan. Monitors and follows up contractors’ performance in light of contract terms and conditions. Regularly performs analysis and evaluation on contractors’ performance, and reports and recommends to Supervisor for improvement of contractual efficiency. Attends and assists auditors for auditing. INDEPENDENCE OF OPERATIONS Determines own work methods in accordance with established policies, plans, and professional standards. Plans and programs are discussed with Supervisor and completed work is reviewed and approved. PHYSICAL EFFORT & WORK ENVIRONMENT Minimal. Normally air conditioned environment. MINIMUM REQUIREMENTS A. B.A. in Law, Accounting or Business Administration or equivalent. B. 3-4 years experience in administration business. C. Very good knowledge of English. D. Knowledge of PC operations. | |
